I know this has been mentioned at several points at dream meetings. But I wanted to create this thread as a reference. I would like to have this as a single post so the talk thread is link- able and can be sent to Dreamers who have a question regarding this.

I got an E-Mail saying:
"Most of the materials Will be purchased from private owners, so having official receipts might be difficult. Is there a guideline what needs to be on a receipt?"

So here is a question for the finanzteam and the art grant team from last year:
@remyschneider , @alexxx - please tag whoever might have insight here.

Questions

  • What counts as a receipt? Does it need to have tax number? Does it need to be a company? Is there ANY way to refund stuff that has been bought off of private?
  • At my work we have to pay stuff and then I write my employer an 'invoice' so they refund me the money I used for my work. When I pay something off of Ebay sometimes it is possible to use a 'quittungsbeleg' (see attachment) that the people fill out themselves. We use the same thing when we buy something at a market booth and they don't have invoices and receipts. Might this be a solution for people who want to get stuff from Ebay Kleinanzeigen if it doesn't exceed certain amounts of money? Or are people forced to buy new stuff?

ANSWER (Taken from Ebay.de):

In general, an informal letter (handwritten or typed) is sufficient. The names and address details of the buyer and seller, the quantity and name of the item sold (e.g., 1 PC XY), the price (e.g., 450 euros), the date, and the signature (handwritten) must be provided.

e.g. "I hereby bill for the sale of" PC XYZ "450 Euro."

In addition, a sentence such as "received on June 13, 2019" should be added, since this is proven receipt of payment for both sides.

Hey hey,
Yes the documentation should be released ASAP. I've beena bit slowed as our repayment system isn't up and running and so the process isn't fully fleshed out yet.

@waldo yes I have started recycling teh documents from last year. And we're had little/no further feedback concerning the cover-letter idea. I could use someone who speaks Beamtisch to help write one up.

For now just make sure that all the Dreamers are aware they need receipts, they always have and always will. They can request for a confirmation of purchase from a private person when buying privately. I will see what info I can find to make this more clear for the seller (as they might not know they can do that).
