I've tried to make it as simple as possible to avoid any hassle to any team I'm not a part of. If you can't do something that I ask, please tell it to me and I'll find a way arround

Vans
We will need a van on Wednesday the 11th and Sunday the 15th.
Please note that this is german time not playa time as there is train to catch (literally)
Wednesday the 11th:
From 9h55 to 10h55 (or 11h30 if 2 trips)
From 13h55 to 14h55 (or 15h30 if 2 trips)
Sunday the 15th:
From 13h55 (or 13h30 if 2 trips) to 14h55
From 18h55 (or 18h30 if 2 trips) to 19h55
Which van?
Ideally korg van if it's not busy with build/strike.
Plan B is to get in touch with Kieze who might have an extra van.
Plan C is to use the yet hypothetical toilet van from Leipzig.
We do not have to use the same van on Wednesday and on Sunday
How many luggage?
I estimate to be able to fit luggage for 20-25 people in one van. But it is a wild guess so reach out if this seems wrong.
If a lot of people want to use the service, we can do 2 trips in a row
Building/Signage of the bellhop area near gate
We will need a build volunteer to delimited a square by putting 4 rebar + tape somewhere outside of gate, in sight of the gate.
We will need a signage volunteer to put a pole (even a little on) and a βBellhop Serviceβ sign.
We will need a volunteer (probably me) to print, laminate, and put these warning signs on the area to avoid having people putting their luggage here randomly. Is there any laminate-machine onsite for production?
This is a very low-priority thing to do. It can literally be done after Wednesday because the only important time to have that is on Sunday. If I arrive before itβs done, I will help out.
The strike should be easy, I will be there to help on Monday the 16th.
I will ask for help in the proper thread once itβs launched.
Drivers
We will have to know in advance who will drive as it is a requirement to give a copy of the driving license to the rental servicesΒ

.As you may notice, we need a Supervisor/Driver/Co-lead on Wednesday.
Itβs because Iβve already taken my non-refundable train ticket from Paris and best case scenario Iβll be at Demmin at 20:00 on Tuesday the 10th. Worst case Iβll arrive with everybody else on Wednesday.
This person will do the first trip so they will have to be onsite for build. They will also supervise the next driver by helping them to put a hand on the van (can be tricky for volunteers who do not know people from build crew)
If you want to be this supervisor please reach out.
This person will have to get out of the site after their entrance and covid check. It will be the only one. I hope itβs okay from a covid-risk point of view.
Lost&found
Any unclaimed luggage at the train station will be taken to Berlin by a volunteer.

For the way back i think the production van will be busy striking (?). Let's see what @Jan-Christian Kaspareit strike lead thinks? Could we use the Prod van for 2 hours on the Sunday?
I dont think we can provide the service of transport and wait. We could make sure the luggage is there on time to distribute to them and to catch the train. But the van should be returning quickly as it is needed to strike and transport stuff to storage. It shouldn't take up more than an hour. 1 extra participant could go in the van and guard the luggage at the station while the driver drives back to site.
Yes, labels on their luggage might work. How about free campers without Kiez.(?)
If you think we don't need a person "guarding the items" then no π. I think it wouldn't hurt. But maybe is better and more radical without it.
This year ppl are allowed onsite only if they pass the covid test. That is why to avoid the hassle in case they are positive, Their gear should not be entering the site. But picked up once at the gate when they take the test, no? My opinion though.
Not sure how the gate will handle this. I advise you to set a call with Mareike or someone from the gate to coordinate better and then make the corresponding update on talk. (?)

My main question for gate (and covid team is): can i (or the other driver) go through the gate with the van to drop off the luggage inside and go back?
Or park in front of gate to drop off the luggage and carry it to the bellhop place?

in case of covid situation (probably rare because we're talking 50 people walking for now): just ask some random person to go through the luggage and get the gear with the proper label. Let's not worry too much. If that's okay with gate?
yes we can find 1-2 volunteer with bike to go to the trainstation, watch luggage and go back. Or a volunteer amoung people who take the train to berlin to take luggage with them and find a way to give back to the owner once in Berlin

Best would be to reach out to Roland and check on his availablities: Freiland said he was quite busy at the Sommerfest (Freiland event with 500 participants), adviced to use it planned (aka for a specific group/time/people/pre-order) and we should check in with Roland first

hey, @Caroline thanks for the amazing work you put in, I really like the idea, for the way back I don't think its much of a problem, the 7-kilometer walk from freiland to the station is a very empty road, so in case someone drives back it's very likely the driver will cross paths with a lost burner,
it might also be wise for drivers to check on that when driving back with luggage, there is a chance someone is halfway and too exhausted to walk in hot weather after having partied all night

About the driver, yes we can ask people who just got their luggage carried to drive back to the trainstation. However I'm not sure they won't enter the event before driving.
Way in:
First trip (10h): I drive from site to trainstation, I pick up, people including the next driver walk
Second trip (14h): new driver drive from site to trainstation, pick up and drive back while other people walk.
What does the new driver do between 11h30 (their arrival at the gate ) and 14h? We can't ask them to just wait at the gate...

Train from Berlin arrive at 9h59 and 13h59.
I think if we leave site at 10 (and 14h) we can be at sternfeld at 10h20, load up (15min) and be back on site at 10h55.
But we can totally move the timetable in function of the van availability as there is a train every hour.

maybe the volunteer driver could take a parking shift, I know all parking volunteers are covered atm but it wouldn't hurt having an extra one here and there? if they are okay with that. That way they are volunteering roughly 3 hours. (?)
They could still be tested upon arrival anyways, They will be wearing masks when interacting with others we need input from the covid team anyways.
Note: not sure the production van will be available on Wednesday 10 am. but later that day. We might need to have the van available in case any last-minute prior gate opens(?) maybe we could move that to later on that day ? not sure the train timetable. unless the time expected to have the van in use for this purpose is less than an hour (?)

We can ask people to label their own luggage with contact info (phone number!) and their kiez.
Do we really need someone to check on it, if it's inside? I never had a problem with luggage at nowhere (even when the bus going back was really late)
What worries me more is for the way back. What do we do if someone don't pick their luggage at the train station? Should we wait 30min until trains departure and go back with remaining luggage to Kiez Burn? We will have the phone number of people on the luggage so it should be okay... but it's a burn
How many ppl's luggage do we expect to load ?
Natron estimated 20/25 people luggage per trip. If more we can do more trip.
For the way in, i will find a person who wait 20min for the van at the train station (i don't want to loose time with the van so people can wait a bit)

So I got excited and already created the sign up form and paper to put near the bellhop sign and a faq
Worst case it doesn't happen and i've just lost half an hour of my life
Please give any remark if you have some.
Dream : could we have a luggage trolly like the one in luxirious hotel to put near the bellhop sign ?

again, I would not put the luggage on site but put it next to the gate and covid testing on the freecamper/parking area. there are many people there to keep an eye on the stuff. Also the gate is closed for cars from wednesday 12.00 o'clock so the van will not be allowed to drive on/offsite. exceptions can be made but i really don't think it's necessary for luggage. people can walk from the station, arrive at gate, do the testing, grab their stuff and walk inside. or what is the reason to specifically put the luggage on site?

I wanted to put it inside to be sure only people with ticket have access to it. But I feel you are right about the number of people to take an eye on it. And it will be easier for covid positive people.

ja true about the tickets! it will be next to security also, so not dumped somewhere in the middle of a field but in a super busy area :) but maybe also just in case remind people to keep their valuables on them for the walk. but i think it will be fine! thanks for initiating this β€οΈ

It can be launched anytime when we have the confirmation of the build and strike van heros.
It will be 50 people luggage for one trip x2 time, 100 if vans are a little more available and i can do two trips in a row each time
In case of korg van unavailability, maybe we can find a kiez who has a van available. Or use toilets vans if driver from leipzig are found
Other pros i see and can be advertised
Ease with the taxi service as there might be wait at demmin (and give priority to people with walking issues to the taxi service #inclusion)
Really cool for anyone who wants to bring their bike or start the burn with a run (i've seen there is a runing kiez?)

Wow, sounds like a big relieve for the community! π @Caroline @Natron Deo & all other realizers: FYI, Freiland will give us the contact of a local guy who offered a shuttle during their event. He has been quite busy and a bit overwhelmed with transporting 500ppl β but we can ask him for support as well. Kiez Burners will arrive Wed-Fri and can use the Bellhop Service, so maybe it's ok...

would you like to update the top of the thread with the actual plan? like collecting the relevant info from the comments and explain how this will be done + timetble+ add the form sign up+ instructions all those nice things you have done.
When do you plan to launch it?
question: What if you have more signups than what the van can take? Maybe a second trip could be done? but still, this will be a max of probably 50 people's luggage, so as to manage expectations from participants.
I would consider launching the signup via newsletter only so as to be more inclusive, reach to all ticketholders and see how many applicants you get. This will be first come first serve, right?
I could make a teaser prior to the newsletter release next Friday the 30th. So people sign up as soon as they receive the email. Your thoughts???

Drivers:
these should be the people that sign up to carry their gear? Maybe they have a driver's license but dont want o to afford a rental car for 5 days. Im, sure there are plenty of drivers out there and the best way to find them is by making a call out on the newsletter because we reach all ticketholders via our newsletter. Telegram and Facebook do not necessarily get to all ticketholders.
If you recruit drivers, please make sure they have a ticket!!! sometimes people assume they will be given a ticket in exchange.
Vans:
We might have a production van empty during the event for this purpose

IN THIS CASE, WE NEED IN ADVANCE: driver's license from drivers to be able to show at the rental.
@Caroline you/ any colead you might have, will have to coordinate on-site (?) make sure who is driving is allowed. How many trips do you intend to do (?) 2 per day?
we want to avoid having people in and out of the site after they get tested, so that I suggest the drivers should be the same people arriving by train.

if you need to make a blast on Facebook/ telegram let me know on this thread, and I will link interested participants to this very thread. Eventually, maybe you want to make a "sign up" sheet or something so they fill in their name (?) up to you. In general, is always got to give out a signup + a channel where people can ask questions. (yes, just tag me for gate realizer, Paul is not on talk but I will forward the info) - i like the proposal and pretty sure we can assign a space for collecting the luggage close to gate. If it should be shaded, have a sign or have a system with numbers or something, then it is something we can't do as gate, because we will already have a lot to do unfortunately.. @Caroline could you take this on or recruit someone for it? I would put the luggage outside of the gate because not everyone will be camping on site. Freecampers are camping in the parking area outside the gate so they would then have to get their stuff from inside the gelΓ€nde again.
also, I wouldn't want to fill the greeting tent with luggage, I think we need it for people. i do understand that leaving luggage with food in it in the heat might also not be the best idea, but I would also not make it more complicated than it needs to be. My opinion: we just tape off a square for luggage in eyesight of gate.
