To whom is this thread?

This thread is to Korg members and whoever wants to help and support the Orga team to recruit hippies. Comment and suggest those ideas you have in mind.

I'm here to open a discussion on how are we gonna do recruitment of Realizers for the Event. I think it's a very important topic to be well thought & followed-up.

We gather for a small introductory meeting about Realities with Bee, Alex, and JCK + small talk on recruitment in general.

So far we agreed that Realities it is not yet to be our Volunteer Portal and it is now a not so sexy mapping that enables sign-up, that is it!

Small updates will be done though.

What is Realities?

RECRUITMENT from the Korg:

As the current pandemic makes our lives a bit more tricky and it doesn't let us host in-person meetings where we have the chance to chit chat and get closer to newcomers to explain and invite, we have to find the way around it.

Currently the Korg is using this google Form. Feel free to make suggestions in the comments or make modifications in the form if you think it is needed.

(Access is limited to only members as protection of personal data of applicants)

What to do with this data?

  • We could share this form (signup) during meetings and through social media to get people to show interest + newsletters

  • Once a week or so, we go through new answers and send a Welcome email to new applicants.

  • Every time there is a meeting we extend and a special invitation for those (?)

  • Once they are in, they can be guided to go ahead and sign up on Realities

The current welcome email used is available here

Here some drafts of templates for these welcome & Thank you emails (in progress please chip in)

Who volunteers for that? follow up + sending invitations + welcomes

I wanna highlight the importance of keeping the motivation from ppl that sign up and how difficult is to hold this momentum without being able to make gatherings or in-person meetings. A thank you email and regular updates, check-ins are key.

update:

@Cairn (Clément) is mainly managing the signup form and applications.
He sends the welcome email to interested people, along with the contact detail of the current Realizer of an area of interest, or the contact of the Guide, when there is no Realizer yet.

Nonspecific role sign ups

As we have seen some ppl are signing up for nonspecific roles and some of them for the same Realizer roles.

How do we keep these people in touch if they need each other somehow and we have in our power their contact information which has to be preserved (?)

It seems to need more attention than we wished (?)

Update:

Kiez Burn Coaching Team

these are a couple of peoples that will be the touchpoint to first newcomers, we share our phone number/email during meetings to those confused hippies to get in touch with them directly answering questions 1-on-1's. So far those "couchers" are:

@The Lord of Fire (Schatzmeister) (Alex)

@Veroca R. Sala

@Cris

@Cairn (Clément)

Telegram Channel -

https://t.me/kiezburn

The telegram channel is already live, and I suggest we also invite everyone in every meeting to join this channel where we hang up the google form in its description DONE

I can volunteer to send announcements/link to talk and spread the good news. While whoever of the Korg wants to announce something should be able to do it because all korgis will be admins.

Question do we all agree on going forward with it? if so then off we go.

Update:

Telegram channel is live and currently (Feb2021) has got 180 members. All korgis are admins.

Next Steps (?)

  1. Finalize the sign up through the previous form --> here the spreadsheet with their responses (restricted access only for the Korg + some board members)

  2. Enable the new form --> still to add some questions like "were you a realized before?" copy from the previous form)

  3. Migrate all ppl from the previous sheet onto a second tab so we have those names at hand.

  4. Enable the telegram channel link if we decided so.

What about the timeline?

Timeline is done here

Shall we talk more about recruitment? Make this thread bigger, add more topics or concerns.

Which Telegram channel are you talking about? Kiez Burn e.V.?

Hey!

So as I see it we still haven't had an official 'kick off' for finding realizers/co-realizers or even camps to fill in the roles - we did have a bunch of very enthusiastic KORGis who clearly want to see Kiez Burn happen just as much as we do...! I would hope this pressure feels lessened once we have more folk stepping forward.

I think if we have a well organised online Realizer recruitment meeting (read: short, sweet and informative) which the KORGis can organise (I'm happy to advise meeting planning and my Zoom account is on offer). Often we would form little teams already after the in-person meetings where people can already begin planning. Would be great if we can still create this bonding feel even online.

Also I think some people who have already showed interest to help but not as KORG weren't sure what to do next & one thought they missed out something majore by not being at the KORG meeting. A KORG intro and invite to Realizers recruiting meeting seems to be the logical next step!

What to do with this data?

  • We could share this form during meetings and through social media to get people to show interest + newsletters

  • Once a week or so, we can go through new answers and send a Welcome email (?) to new applicants.

  • Every time there is a meeting we extend and a special invitation for those (?)

  • Once they are in, they can be guided to go ahead and sign up on Realities

  1. Yes! we can pin the post in here also yes? :)

  2. I'm happy to keep track of this & make a more in depth spreadsheet intended mostly for Orga use, forward people towards Realities and let them know who they might want to link up with.

  3. Since we generally know ahead of time when our next meeting is, can we already invite via email/google calendar when we send out the welcome email?

I can create a thread in this Talk group which has a clear table of Realizers and Open roles - which also makes it easy for a volunteer to get in touch directly with the leads once we have recruited to the critical roles, and can function as a bit of a Q&A spot outside of Facebook if someone isn't sure of a role.

Other Ways to catch their eye!
We discussed a video before? If no one else is happy to make something like this from scratch, I would be happy to throw together something silly but click-baity which just draws attention to the needs we have for open roles.

updated this thread, crossed things that have been done plus:

Kiez Burn Coaching Team

these are a couple of peoples that will be the touchpoint to first newcomers, we share our phone number/email during meetings to those confused hippies to get in touch with them directly answering questions 1-on-1's. At the moment Alex lord of Fire and myself

Updated the Thread to indicate that I am currently emailing the people interested, along with the most appropriate contact for their area of interest.
Also inserting this info in the Korg Overseers spreadsheet or ease of access, as long as we do not have Realities running again.

Anyone should be able to put their name into the table, but I'm also happy to go over it after KORG meetings to ensure gaps are filled. Is basically a Talk-facing version of the document Vero made from the KORG meeting data. Ideally it serves as a reference for new volunteers to quickly be able to see in one glance which positions are still open. It lacks the further info (responsibilities and other contacts from the past) which still gives Realities purpose.

maybe there is a way of embedding the realities view in Talk? Something that is not so easy btw is marking where there are guides needed still...

Btw: there is new realities upgrade available, might be an idea to touch base with with the robots

C

Cairn (Clément) Mon 22 Feb 2021 1:13PM

I can also happily be a touchpoint for new people

Cris Fri 15 Jan 2021 4:52PM

thank you, Bee. Although I think that a talk threat with a table of Realizers and open roles may create some mess and confusion, since that's exactly what Realities is for. Since anyone can sign up in Realities and change things there at any time, someone should be checking that and updating the talk threat constantly, to avoid overlapping. Too much work for nothing, in my opinion, and increasing the amount of Talk things, which is already always a lot.

Or am I misunderstanding sth?
